Verify your account email is consistent

The single most important sync requirement: every device must use the same login method. If you signed up with Google on desktop, sign in with Google on mobile — not email/password. Mixed login methods create separate accounts and designs will not sync.

Check which account is active: click your profile avatar → the email shown is your account. Match this on all devices.

Go to Account settings → Notifications. Enable Collaboration notifications to be alerted when someone edits a shared design. Enable Comment notifications to receive alerts when collaborators leave feedback on your work.

Open the Apps panel inside Canva

Inside any open design, click the Apps icon in the left sidebar → search for Google Drive → click Use. Alternatively, go to Share → Save to → Google Drive on any design.

Click Connect to Google Drive → select your Google account → click Allow on the permissions screen. Canva requests access to create and manage files in Drive. This is a one-time authorisation.

When saving a design to Drive (Share → Save to → Google Drive), pick the destination folder and file format (PNG, PDF Standard, PDF Print). The file appears in Drive within seconds.

Step 1 — Create your Team and invite members

Set up a Canva Team

From your Canva home screen: click your account name (top left) → Create a team. Enter your team name and choose Canva Teams or Canva Enterprise. Teams includes all Pro features plus sharing controls and SSO for Enterprise.

Invite team members by email

Go to Settings → People → Invite people. Enter email addresses (one per line) and choose their role: Admin (full access), Member (create and edit), or Viewer (view only). New members receive an email invitation and are synced to the team workspace immediately on acceptance.

Create shared folders

From the Canva home screen: New folder → name it → right-click → Share folder → invite specific team members. Set each person as Editor or Viewer. All designs moved into this folder are instantly accessible to invited members on all their devices.

For designs that need review before publication: open the design → Share → Request approval → assign an approver from your team. The approver receives a notification and can approve or request changes. Only approved designs can be published. Available on Canva Teams and Enterprise.

Fix Common Canva Sync Configuration Issues

Team member cannot see shared folder

Check the invitation was accepted: Settings → People — if their status is "Pending", the email was not accepted yet. Resend the invitation. If status is active but the folder is missing, go to the folder → Share → confirm their email has been added with the correct permission level.

Google Drive integration not working

Disconnect and reconnect: Canva account settings → Connected accounts → remove Google Drive → reconnect via Share → Save to → Google Drive. If it still fails, check that your Google account has not revoked Canva's access: Google Account → Security → Third-party apps → find Canva → verify access is active.

Designs not appearing in team workspace

Designs must be moved into a shared folder to be visible to the team — simply creating a design does not make it visible. Right-click the design → Move to folder → select the shared team folder. The design then becomes visible to all members with access to that folder.

Brand Kit not visible to team members

Confirm the Brand Kit is shared team-wide: Brand → Brand Kit → the kit name → ··· → Share with team. If the toggle is off, team members cannot see or use the brand assets. Enabling it makes the kit visible to all team members in their editor sidebar immediately.

SSO or SAML not syncing correctly (Enterprise)

Canva Enterprise supports SAML 2.0 SSO via Okta, Azure AD, Google Workspace and other identity providers. If SSO provisioning is not syncing new users automatically, verify that SCIM provisioning is enabled in both your identity provider and Canva Enterprise settings.
